Purchase and Subscription

Can Qx modules be purchased individually?

No, Qx is a suite of independent but complementary modules that must be purchased together. Extra modules can be custom ordered, but the basic suite comes as a package.

What is the subscription model for Qx and how does it affect access to new modules?

Qx offers various subscription plans. Pro users receive priority access, while other users must conclude new agreements to access newly introduced features.

Is there a free trial or demo version of Qx?

Yes, a 14-day free trial is available after a consultation to ensure the best setup for your needs.

What’s included in the starter plan?

The starter plan includes core features such as sample and reaction management, collaborative workflows, process tracking, and result previews. It covers the full Samples module, the Experiments — Processes page where users can create custom process templates, and the Files — Reports page, where reports are stored.

Basic modules include everything needed for less demanding users, while additional modules enhance the experience with advanced functionalities. We’ll explain exactly what’s included and how it fits your needs during your first consultation.

Why isn’t there a plan for fewer than 10 users?

The 10-user minimum ensures we can cover the onboarding and support costs for new institutions. More importantly, Qx delivers the most value when used by a team, streamlining collaboration and data management. Beyond the base 10 users, you can add any number of additional users as needed.

How are additional modules billed in the Starter Plan?

Institutions can add extra modules based on their needs. Each module is priced separately, and the cost varies depending on the specific functionality it provides.

What does it mean that all modules are included in the Professional Plan?

The Professional Plan includes all currently available modules as well as any new modules developed during the subscription period. Qx evolves rapidly, with at least one new module added each year.

Can I upgrade my plan later?

Yes! You can upgrade anytime by adding modules or moving to a higher-tier plan as your research scales.

Do you offer custom pricing for large teams or institutions?

Yes! Our Enterprise Plan is designed for institutions with specific needs. If our existing plans don’t fit, we’ll customize a solution with tailored features, priority support, and flexible pricing to match your requirements. Contact us to discuss the best setup for your team.

How is billing handled?

Subscriptions are billed annually. If you need a different arrangement, let’s talk — we aim to be flexible to support research teams.

Is there a setup fee?

No, there’s no setup fee. One of Qx’s biggest competitive advantages is its intuitive design, allowing users to quickly adopt the platform without extensive training. In the Starter Plan, onboarding happens naturally through in-app how-to videos and documentation. During the free trial, users learn the core functions on their own. For higher-tier plans, we offer premium support for direct assistance and consulting services for a fully customized onboarding experience.

User Experience and Accessibility

Can Qx be used on any device?

Yes. Qx can be accessed by any device with a browser and an internet connection.

Is there a limit on the amount of data that can be stored in Qx?

If Qx is hosted on your institution’s server, then no, there is no limit. If hosted in the cloud, then your institution will only be limited by the purchased pricing plan.

What are guest profiles? What are the other user roles?

Guest profiles allow you to differentiate between internal users from your institution and external collaborators who need access to your data. These profiles are especially useful when connecting two institutions, as selected users from one can be added as guest profiles in the other.

A key benefit of guest profiles is that two additional guest users are included in the Professional Plan by default. Guest profiles can have Collaborator or Viewer roles, while the other user roles in Qx are Owner and Administrator.

How is access managed?

Qx provides granular access control through a roles and permissions system, ensuring both data security and collaboration efficiency.

The Owner and Administrators manage user access and assign roles based on responsibilities.

Available roles include:

Administrator – Full control over users, settings, and data management.

Collaborator – Can create, edit, and manage samples, experiments, and processes.

Viewer – Read-only access to assigned data, ensuring transparency without modification rights.

Guest Collaborator/Viewer – External users with lcollaborator or viewer permissions.

This structure allows institutions to maintain data integrity while enabling seamless teamwork across different levels of access.

Is it possible for Qx users to collaborate with other users outside of their own institution or company?

Yes. Qx offers options for adding guest editors and guest viewers to any sample or project. If both you and another party have a subscription, these guest profiles are free of charge. If not, we offer the option of adding guest profiles for a small fee.

Support and Upgrades

Is training provided for Qx?

Qx was designed to be as user-friendly as possible. Furthermore, extensive documentation and video tutorials have been compiled. If your institution expressly requires in-person training, we will be happy to arrange that.

How can I get technical support for Qx?

What does standard support include?

Standard support is available exclusively through support tickets within the app. While all issues are resolved, response times may be longer compared to premium support, which includes priority assistance via email and phone.

What is included in the consulting service?

Our consulting service helps you set up an optimized workflow with Qx to maximize research efficiency. We work closely with your team to ensure seamless integration and identify potential upgrades or additional features that could further enhance your processes. If these improvements have broad applicability, they are prioritized for implementation, ensuring Qx continues to evolve to meet your needs.

How does prioritized feature request work?

Quipnex works closely with its customers to develop features that align with their needs while fitting into our development roadmap. We understand that rapid upgrades are essential for a successful digital transformation — your tools should empower you, not limit you.

With the Organization Plan, requested features and modules receive higher priority, ensuring faster implementation to support your quick path to more efficient research and innovation.

How often are new features released for Qx?

As often as possible :) Pro users receive access to all new modules and features immediately. Other users will receive access upon renewing their subscription plan.

Integrations and Compatibility

Can Qx be integrated with other software systems?

Upon request, Qx can be modified to integrate with any other software system your institution uses. Also the Qx Pro Community can vote on software integrations as a priority recommendation.

Can Qx connect with other systems?

Yes! Qx offers Open RESTful APIs, enabling easy integration with existing lab systems.

Security, Privacy, and Data Management

Does Qx have any security or privacy features?

Of course. The platform employs advanced encryption and everything complies with GDPR protocols.

Where is my data stored?

Your data is securely hosted on Amazon Web Services (AWS), a globally trusted provider with high-performance infrastructure and compliance with industry-leading security standards, including ISO 27001, SOC 1, and SOC 2. Raw files are stored in S3 buckets, ensuring 99.999999999% durability, while structured data is managed in a PostgreSQL database with synchronous replication and automated daily and monthly backups.

For Enterprise Plan users, Qx can be deployed on your own servers, giving you full control over data security and compliance. In all other plans, Qx is hosted in the cloud, where we ensure data integrity, reliability, and security.

How does Qx support Open Science and FAIR data principles?

Qx is designed with FAIR principles in mind — your data is Findable, Accessible, Interoperable, and Reusable. Structured data ensures seamless collaboration, reproducibility, and long-term accessibility.

What happens to my data if I cancel my subscription?

Before cancellation, you can export all your data, ensuring you retain full access to your research records. Additionally, we provide a complete copy of your database, so you always have a structured backup of your data.
